Basic Information and Getting There

When is the AvSight User Group Summit?

The 2024 AvSight User Group Summit will take place Tuesday, October 15th – Thursday, October 17th. The main sessions will be Wednesday and Thursday. However, we recommend arriving by Tuesday to take advantage of early registration, bonus workshops, enjoy the welcome reception, and possibly have a couple of early meetings.

Where is the AvSight User Group Summit?

The AvSight User Group Summit will be held at the Opal Grand Resort in Delray Beach, FL. Additional details and the booking link can be found here.

Who should attend?

Anyone who uses AvSight will benefit from this event. Our team is working hard on an agenda that will be valuable to everyone from newbies to AvSight experts. Workshops and training sessions on beginner, intermediate, and advanced themes will be conducted simultaneously so each attendee can select the theme that best fits their needs and interests.

We understand that most companies don’t have the budget to send all of their users to this event. So we recommend prioritizing admins, subject matter experts, managers, and department heads. They’ll be in the best position to learn directly and share with others.

Do I have to be an AvSight user to attend?

No. The User Group Summit is designed to be a user focused event, but there are some options available for non users.

Direct User Group Summit registration is open to AvSight current AvSight users and users currently in implementation.

Industry partners and consultants who are interested in being a part of the AvSight User Group Summit should inquire about non-user registration by emailing marketing@inscaletech.com.

Please note – if you are not an AvSight User and register using the user only direct registration, your registration will be cancelled and refunded. Credit card processing fees incurred by AvSight in processing and refunding your transaction will be subtracted from your final refund amount.

Will I need my laptop? What else should I bring?

We’re going to be covering a lot – so we recommend bringing a pen and notebook or device for note taking. You may want to bring your laptop or other device if you wish to access your instance of AvSight for reference. We’ll be providing digital feedback opportunities as well, so an internet-ready device will come in handy, but a smartphone will work just fine.

If you plan on attending any of the hands on workshop sessions, you will be working in your own AvSight sandbox. To ensure that all features are available, please make sure that your sandbox is running the most recent version of AvSight and that you have super-admin access in your sandbox environment.

Upgrade requests can take some time to process, especially at times when there is a large volume of requests. Please make sure your upgrade request is submitted several weeks before User Group.

What is the hotel group rate? When do I have to book by?

We’ve negotiated a rate of $239/night for conference attendees and a discounted resort fee of $20/night. The resort fee includes self parking and many other amenities.

There are a limited number of rooms available, so we recommend booking early. The rate extends until the block is full or until September 13th.

Do I have to stay at the hotel?

No, we understand that South Florida is home to a lot of our colleagues in the aviation industry,  and you may prefer to commute each day. If it’s a longer drive or you’re coming from elsewhere, we do encourage you to stay at the Opal Grand Resort – it will make networking and transportation so much easier! But you are also welcome to make your own arrangements. There are a number of other lodging options in Delray Beach.

How should I travel there? Will I need a rental car?

The closest airport to Delray Beach is West Palm Beach International Airport (PBI) – about a 25 minute drive away. Another option is Fort Lauderdale International Airport (FLL) – about a 40 minute drive away. All training and networking activities hosted by AvSight will be at the hotel or in close proximity, so you may wish to get there using a rideshare service.

If you choose to drive, parking is available at the hotel. Self parking is included in your stay. For local attendees who will not be staying onsite, we have negotiated daily parking rates of $20 for self parking and $30 for valet parking.

The Opal Grand resort is located in close proximity to everything Delray Beach has to offer. A number of dining and entertainment options are within short walking distance, as is the ocean. The town of Delray Beach offers free transportation by electric golf care to many venues in the surrounding area.

Event Content & Sessions

What kind of programming should I expect?

We’ll cover a variety of training topics, best practices, integrations, underutilized features, and how to get the most out of AvSight. We’ll also be exploring the AvSight roadmap and revealing some exciting new features.

What are one-on-one meetings?

These are personal appointments with members of the AvSight team. You can ask to meet with a specific individual or a member of a team – such as support or implementation – to ask questions, work on solutions, or troubleshoot issues. Appointments will also be available with members of our executive team. When scheduling is available, all registered attendees will be notified.

What are workshops?

Workshops are smaller group sessions that focus on a particular area of AvSight with the goal of empowering you to adapt the information and implement it to your team’s needs and goals.

Some hands on workshops will involve working in your own AvSight sandbox. To ensure that all features are available, please make sure that your sandbox is running the most recent version of AvSight and that you have super-admin access in your sandbox environment.

Is there a remote option?

No, live and in-person only! Seriously – do you want to sit on Zoom for three days? This event is designed to be highly interactive and allow for personalization, and remote sessions add barriers to collaboration.

Can I get recordings of the sessions?

A portion of the program will be recorded and excerpts of those recordings will be made available to our users in months after the event to use for reference and sharing with colleagues who were unable to attend. We are not planning on making a complete recording available.

How did you determine training topics?

Our team has been compiling customer feedback, training topic requests, and common support tickets over the last couple of years in anticipation of this kind of event. Additionally, we are working with an advisory team made up of customers representing a wide variety of roles and business segments. This input and data has allowed us to put together a program that we think really meets the needs of our customers. Have a specific topic you’d like to see covered? Are New User & Admin Trainings included?

No. At the request of our customers, the AvSight team has decided to offer in person training sessions prior to the User Group Summit in a small group setting. These trainings are not a part of the summit, but are hosted in the same location and around the same time to provide a convenient experience for those who would like to attend both events.

Add on tickets are available at a reduced rate for customers who would like to attend the User Group Summit and a training session. Please note, combo tickets cannot be split and must be used by a single individual.

How do I register?

Do I need to register in advance?

Yes. The 2023 User Group Summit sold out well in advance of the event. We have doubled space for the 2024 event, however based on the increase in our user count and feedback form last year’s attendees, we anticipate another sell out event.

Registering early allows us to better plan resources and programming for the event and allows us to reduce costs, so we are providing an early bird discount of $200/attendee for registrations completed by June 16th.

What is the cost?

User Group registration is $799/attendee. An Early Bird Registration rate of $599 is available for registrations completed before June 16th. After June 16th, registrations will increase to the Advance Rate of $699. Registrations completed after August 12th will be at full price.

This is an insane value and only covers a portion of the expenses incurred in hosting this event. Think about it – two intense days of training and one-on-one appointments with our experts, for about the cost of a couple hours of training.

What is included in the cost?

Your registration fee covers two days of intensive hands on AvSight training, breakfast and lunch on training days, networking receptions, and the opportunity to schedule one-on-one appointments with our executive and support teams.

My plans have changed - can I cancel or transfer my registration?

Registration fees are not refundable. If your team would like to send a different employee, we can transfer your registration to them at no cost.
