2024 User Group Summit Highlights
It’s hard to believe that a month has passed since the AvSight User Group Summit! Our team had an incredible time sharing best practices and uncovering new features, but we also learned so much from our customers. You guys are doing incredible things with the system – customizing and leveraging it in unique ways we never imagined. Best of all, you’ve allowed us to create a collaborative community where our customers can exchange ideas and help us make the platform even better. Even though the event is over, there’s still a lot to learn – here’s some highlights from this year’s event!

Sessions Highlights
This year’s program featured more than 40 sessions and discussions covering a variety of processes. We even tried some new formats including hands-on workshops and relaxed round table discussion sessions. Below are a few of our favorites, click on the session titles for highlights and resources for continued learning.
Getting Hands On
One of the goals of this year’s User Group Summit was to allow customers to gain real hands on experience with new skills. To achieve this, we added workshop sessions that walked through solutions to real business scenarios.
Working with Flows
Does your sales team get more RFQs than you can handle manually? Have you ever wondered how to effectively respond to RFQs from accounts that don’t often purchase? In our Working with Flows workshop session, attendees learned to leverage automation to solve that problem.
I really enjoyed the flow session, it was interactive and engaging!
The session began with a grounding in the foundational elements of flow strategy, planning, and building. Then attendees were guiding through planning and executing a flow in their own Sandbox. The result was an automation that determined which accounts were low ROI and then created an auto “Make Offer” response to RFQs from those accounts.

Working with Page Layouts & Custom Fields
A solid understanding of page layouts and custom fields is at the heart of customizing AvSight for your business needs. In our Working with Page Layouts & Custom Fields workshop, attendees explored the ins and outs of Page Layouts and Lightning Pages and when to use each. They also learned how and why to create custom fields and strategy for choosing the correct field type. Then they were able to put their skills together in a hands on project in their own Sandboxes.
Attendees worked through the process of calculating, displaying, and reporting on invoice life cycle at customer stage. This involved using existing data to create formula fields that would display information such as Date Invoice Paid, Number of Days til Paid, and Paid on Time. They then added these fields to appropriate page layouts and created an actionable report showing Average Days til Paid by Account.

Leveraging Parts Features
We loved having AvSight Product Owner – Part Sales, Terri VanderSchuur at User Group to teach classes on best practices and part features that are commonly misunderstood.
Best Practices for Working with RMAs and Exchanges
RMAs and Exchanges are touched by a number of roles, so following best practices is especially critical – mistakes can have a ripple effect that effects a number of future processes. This session took a close look at the financial implications of these transactions and tips for working more efficiently. Also valuable were Terri’s tips for using List Views to gain at-a-glance insights without needing to run reports.
How to Leverage List Views
- Use list views to find and approve new RMAs. Just filter your RMA list view by “Status” = “New”.
- Use list views to track outstanding RMAs. Just filter your RMA list view by “Status” = “Approved”.
- Use list views to see what parts have been returned and need to be processed. Just filter your RMA list view by “Status” = “received”.
- Use list views to find overdue cores. Just filter your Exchanges list view by “Original Core Due Date” < “Today” and “Exchange Status” = “Approved”.
- Use list views to track cores that need to be sent for repair. Just filter your Exchanges list by “Exchange Status” = “Core at Repair”.
- Use list views to find cores that need to be closed out. Just filter your Exchanges list view by “Exchange Status” = “Repaired”.

Upgrade Your Analysis with Workspaces
AvSight Workspaces are one of our most powerful and overlooked features. Workspaces are a powerful in-app tool for bulk part analysis. Workspace allows you to load a list of part numbers and apply Part 360 metrics to the entire list, simplifying and speeding up analysis. For smaller data sets, such as a hot list, you can also key in a group of part numbers. In this session, attendees learned use cases, best practices, and tips for success.
Here are some use case highlights:
- Quick and Informed Purchasing Decisions – No need to analyze parts separately. Load or type in the parts you want to analyze and get back info such as average selling price, quantity sold in the last 12 months, and on hand.
- Facilitates Team-Wide Collaboration – Teams can reference consistent universal data to make data driven pricing, mark-up, and purchasing decisions. No “data hoarding” with team members maintaining their own historical data and analysis.
- Data Modeling for Stock Planning – Purchasing teams can see long range trends to plan for future needs.
- Inventory Management – Monitor stock levels on top parts lists to keep up with purchasing, sending out for repair, etc. Efficiently analyze without needing to determine a complex min/max strategy.
- Keep Pricing Up to Date – Establish a consistent rhythm for analyzing and adjusting pricing without needing to completely overhaul your database.
- Monitor Data Cleanliness – Are all of your hot parts still hot? Do adjustments need to be made. Is a particular part trending down?
- Identify High Margin Parts – Is there a good opportunity to do a promotion on a part?

Build a Better MRO
AvSight’s MRO functionality has seen some major updates in the last year, with a focus on easy to use streamlined processes. At the User Group Summit, AvSight Product Owner – MRO, Dave Miller did a deep dive into new functionality and best practices.
Introducing AvSight Essentials
AvSight’s all new Essentials experience provides all the power of AvSight in an efficient and user friendly experience. In this session, Dave demonstrated some key features such as the no-code automation options included in Essentials and flexible configuration options.

Craft a Smarter MRO with Skillset and Labor Management
Effective skillset planning, strategy, and execution can have a big impact on MRO efficiency. In this session, our team demoed new features such as optional defaults, which allow skills to be auto-applied to users, tasks, work packages, and job cards to simplify skill list maintenance, and training course & skill expiration, which allows users to track employees training requirements and continuing education within AvSight.

Learning from Each Other
Sessions weren’t the only place that ideas were exchanged. Everything about this year’s summit – from the venue to the schedule was designed to make it easy to connect with other AvSight users and team members and allow ideas to flow freely.
Roadmap Sessions
A highlight of the User Group Summit is always the AvSight Roadmap session. These are discussion sessions led by members of our product and development teams where we share the current development roadmap, get customer feedback, and listen to ideas for new features and enhancements to make the AvSight platform even better. These allow us to make sure we’re working on features that have real value to our customers’ every day operations. The feedback we get has a significant impact on future versions of AvSight.
Support Office Hours
This year the majority of our support team attended the User Group Summit. This allowed us to offer support appointments and open office hours to troubleshoot customer issues and listen to your feedback.

Networking & Connecting
The AvSight User Group Summit wasn’t all business, we also made time to have fun and connect. One of our favorite additions to this year’s schedule was the attendee party at Throw Social. Our AvSight family had the whole venue to ourselves for food, games, and fun.
