KP Aviation is an aviation aftermarket parts supplier that specializes in teardown and leasing. They maintain office and warehouse space on four continents and deal with the unique challenges of international communications and process management. They are currently in the process of relocating their primary facility from Reno, Nevada to Mesa, Arizona. Since implementing AvSight they’ve seen improvements across the board. In this case study we will focus on improvements in warehouse efficiency, training and communication, and accounting.

Warehouse

KP Aviation tracks how long it takes orders to be processed from the time they are released for picking to the time that they are packed, labeled, and ready for carrier pickup. Thanks to the simple paperless processes that AvSight makes possible, this metric has changed drastically.

KP Aviation Director of Warehousing and Logistics, Lynn McGee, comments “During the previous 6 month period our monthly average lines/hour were 2.9. From January to June 2021, our monthly average lines/hours were 5.7. This represents an efficiency gain of 96% due to AvSight.”. That’s nearly twice as fast as their previous processes allowed. This number is made more impressive when you consider that during this time period, employees were also learning to use a new system.

Training

KP Aviation also noticed a marked difference in how quickly employees were able to adapt to AvSight processes. KP Aviation Business Systems Analyst, Jeff Hinxman, says “AvSight is very user friendly and easy to pick up. We had very few issues with people forgetting to do things, and within a month we had almost no issues at all.”. The process has proven even simpler for new employees. Hinxman continues “Training requires less repetition. We’re able to get new employees up to speed within 1-2 weeks vs 6-9 months with our previous system.”.

Cloud Based

Global companies deal with unique challenges. KP Aviation found that their previous software exacerbated these challenges. Hinxman shares “Far and above the best part about AvSight is it being cloud based. In the past, all satellite offices had to remotely access the server at our home office in Reno. It was inefficient and slow. It was also reliant on the Reno server being online. If there was a power outage in the middle of the night in Reno, our Madrid office would be unable to get any work done during peak business hours.”

AvSight’s cloud based infrastructure allows employees to access the system anywhere where they have internet access. KP Aviation has noticed that this ease of connection has improved engagement and communication between employees at their satellite offices and the main office.

KP Aviation has also found their upgraded system critical during their headquarters relocation. “As we handle the move of our headquarters facility from Reno to Mesa, we have people travelling back and forth and aren’t having to worry about servers working. As long as they have an internet connection they can access AvSight.” shares Hinxman.

Accounting

AvSight has vastly improved the efficiency of KP Aviation’s Accounting department. KP Aviation Chief Financial Officer, Linn Shaw, says “AvSight provides a direct integration with their financial software, whereas their previous software required the data to be connected manually.”  Shaw outlines our previous process “At the end of each day, our system would generate reports. The next day our accountants would upload those reports to our finance software. We were always at least a day behind.”. In addition to being time consuming, this method was also costly. “We had two to three full time accountants whose only job was to upload reports. Now our team can do actual accounting instead of just uploading data.” he continues.

With AvSight, KP Aviation has real time access into their financial reporting, allowing them to make more informed business decisions and be proactive rather than reactive. They’ve also noticed that having access to this data has improved the experience of the sales department as well. The sales team is able to see in real time how they are doing. This instant feedback improves motivation and helps sales managers better lead their teams.

Reporting and Dashboards

Easy to access dashboards and reports have also been a huge help for KP Aviation. Customized dashboards for each department improve communication and transparency. For instance, warehouse employees now have visibility into what sales is doing, allowing them to know how many orders to expect and better allocate resources. Sales teams can easily see what orders are on hold, so that they can proactively fix the problem, rather than waiting for the warehouse to call them. This has led to improved working relationships and cut down on redundant communications.
